Require customer identity, part identity, quantities, due date, material and finish when known, and the controlling CAD, drawing, specification, and BOM files. Preserve the original message and source evidence.
Immediately classify missing information. A clear waiting-on-customer state is faster than letting an estimator discover the same blocker after twenty minutes of work.

Route obvious milling, turning, sheet, assembly, purchased-component, and outside-process work into process-appropriate review. Use geometry and document evidence to find risk, but keep uncertainty visible.
Assign an owner and due date. Separate quick no-bid decisions from requests that deserve detailed estimating so the inbox does not treat every opportunity as equal.

Start from confirmed machine profiles, loaded rates, routing templates, material sources, and similar jobs. Keep setup, per-part cycle, material, outside, inspection, and commercial adjustments separate.
Compare predictions with accepted CAM or production evidence. Automation becomes trustworthy when error is measured by process and driver, not when a generic model produces an impressive-looking number.

Send scoped supplier requests as soon as the outside requirement is confirmed. Track response completeness and follow-up independently of the estimator's internal work.
Define approval gates before a quote can be sent: current revision, complete material provenance, resolved BOM, valid supplier cost and lead, reviewed DFM, and customer-facing assumptions. The target is faster safe flow, not faster accidental release.

Track RFQs received, quoted, no-bid, won, lost, and undecided; median response time; estimator touch time; waiting-on-customer time; supplier wait; approval wait; and quote-value throughput.
Review the longest delays and highest-value misses. Fix the repeated constraint first. A process that reduces ten routine quotes by five minutes may matter less than removing a two-day supplier or clarification bottleneck.
Straight answers
Only where inputs, process limits, and accuracy are proven. Most shops benefit first from faster triage and estimator-assisted quotes.
Intake checks, ownership, repeatable cost drivers, supplier tracking, and approval readiness usually remove more waiting than a single automatic price formula.
Measure elapsed response, estimator touch time, prediction error, revision mistakes, win rate, and quoted value—not speed alone.
Measure before automating
Separate queue time from estimator time, locate the waits and reconstruction, then define a result the pilot can measure.
